How Sketchplay works

What does Sketchplay actually do?

It runs the operating side of a sports organization: registration and payments, scheduling, communication with families, live scores and brackets, event ticketing, and your website and app. The point is that they share one roster, so registering a family is what puts them on a schedule and on a message list.

How long does it take to get started?

Four steps: pick a plan, connect the account you get paid into, publish the events you are running, and open sign-ups. Most organizations are taking registrations the same day rather than at the start of the next season.

Do we have to use all of it?

No. Plenty of organizations start with registration or with one tournament and add the rest later. Every plan includes the full platform either way, so turning something on is not a new line on the invoice.

Is any of it an add-on we pay extra for?

Every tier includes the full platform and a branded website. You pay one flat monthly price based on the size of your organization, and there are no per-team fees.

Does the price go up when we grow?

Your plan is not metered by athletes, teams, events, or sports, so adding them does not move the price. If your organization outgrows its tier you can move up at any time, and the change is prorated for the rest of your billing cycle.

What do families have to download?

Nothing, if they do not want to. Families can register, pay, and follow schedules and scores on your website in a browser. If they want it on their phone, your organization has its own space in the Sketchplay app.

Is our website really included?

Yes. Every plan includes a branded website built and hosted by Sketchplay carrying your name, your colors, and your event calendar, with your registration and live scores already wired into it.

Can we see it running on our own season?

That is what the demo is for. Bring your current sign-up form or last season's schedule and we will put it into Sketchplay while you watch.

Do families sign up on our site or yours?

Yours. Registration runs on your own branded site and the confirmation carries your organization's name, so families never get handed off to a page that looks like someone else's.

Are waivers part of it?

Yes. Waivers are signed inside the same flow as the sign-up and the payment, rather than emailed out afterward as an attachment you have to chase.

Can we cap how many sign up?

Yes. Set a capacity and sign-ups close themselves once you are full, so you are not manually turning people away or discovering you oversold a session.

Can families pay over time instead of all at once?

You can sell a pack of credits families draw down session by session, or set up recurring billing for training that runs week after week. Talk to us about your specific structure on the demo.

How do we know who still owes money?

Balances are visible to you and to the family on the same screen, so it is a number both sides can look at rather than a chase.

What happens to the roster?

It builds itself from who registered, and it is the same roster your schedules and your messages are addressed from. There is no second list to keep in sync.

How does AI tournament scheduling work?

You enter your courts or fields, your teams and divisions, and your constraints such as start times, rest windows, and travel gaps. The AI scheduler builds a complete conflict-free schedule in minutes, then keeps solving during the event so a no-show or delay can be rebuilt in seconds.

What happens when a team no-shows on game day?

You mark the team out and the scheduler re-solves the affected games immediately, respecting your original constraints. Every affected family gets the updated time and court automatically, so nobody shows up to a game that moved.

Is the AI Scheduler actually live?

Yes. It runs real tournaments today. It is not a beta or a roadmap item.

Can I edit the schedule the AI produces?

Yes. Every game stays drag-and-drop editable. The scheduler flags a conflict the moment you create one, so you keep full control without losing the safety net.

How is this different from a generic auto-scheduler?

Generic auto-schedulers generate a schedule once, before the event. When game day changes, you re-run them by hand and then chase families yourself. Sketchplay keeps solving live during the event and handles the notifications for you.

Ticketing

Who actually receives the money?

Your organization. Sketchplay Ticketing uses Stripe Connect with direct charges, so the charge lives on your Stripe account, your name appears on the buyer's statement, and Stripe pays you directly on its normal schedule. There is no platform escrow.

Do buyers need an app or an account?

No. They open the link, pay with Apple Pay, Google Pay, or a card, and get a confirmation email with a QR code, a printable PDF, and an Apple Wallet pass.

What do we need at the gate?

A phone or a tablet. Gate staff sign in with a per-event PIN in the browser, point the camera at the QR code, and it validates and marks the ticket used on the spot. There is no hardware to rent.

Can we refund someone?

Yes. Full and partial refunds are one click from the order, with an optional checkbox to void the ticket so it cannot be scanned at the gate.

What does it cost?

There are no setup fees, no monthly subscription, and no long-term contract. There is a small per-ticket service fee plus standard Stripe processing, and only when you actually sell a ticket.

Does it handle multi-day events?

Yes. Multi-day tournaments and showcases can sell different ticket types per day, and the gate scan validates against the right day.

Communication

Reaching families by text, email, push, and in-app from one place.

Do parents have to install the app to hear from us?

No. Text and email reach every family whose contact details are on the roster, app or no app. Push and in-app notifications are the extra layer for families who do install it.

Does this replace our group chat?

For organization and team announcements, yes, and without the problem that makes group chats fail: the recipient list maintains itself from your roster instead of depending on someone remembering to add the new family.

Can we message just one team?

Yes. Send to a single team, an age group, the families in one tournament, or the whole club. The audience comes from the roster, so you are picking a group rather than building a list.

Are text messages included?

Every plan includes a monthly allowance of SMS credits, and the allowance goes up with the tier. Email, push, and in-app messages are not metered. See the pricing page for the allowance on each plan.

What happens when a schedule changes?

The families affected are notified automatically. If the AI Scheduler re-solves a day around weather or a no-show, only the teams whose games moved get the message, not the entire event.

Whose name is on the message?

Your organization's. Announcements and automatic notifications carry your name and branding rather than ours, both in email and in your organization's space in the Sketchplay app.

Scores & brackets

Pool play, seeding, live results, and what families see.

Does the bracket seed itself from pool play?

Yes. Pool records settle the seeding when pool play closes, and bracket play starts from there. You are not rebuilding the bracket by hand between the two rounds.

Can we run several divisions at the same time?

Yes. Multiple age groups and divisions run at once across as many courts or fields as your venue has, from six courts to sixteen fields.

How do families follow along?

The bracket and scores appear on your branded event website and in your organization's space in the Sketchplay app, so families in the gym and families at home are looking at the same live picture.

What happens when weather moves everything?

The AI scheduler re-solves the day around the delay and notifies only the teams whose games actually moved, rather than blasting the whole event.

Is this separate from registration and ticketing?

No. Registration, scheduling, gate ticketing, and the bracket are one platform. A team that registers can be seeded, and gate revenue and registration land in the same place already reconciled.

Can we reuse an event next year?

Yes. Copy the whole event, change the dates, and reopen registration. The format, divisions, and structure come with it.

Your branded site, your domain, and your space in the Sketchplay app.

Is the website really free?

Yes. A branded website is included with every Sketchplay plan at no extra cost. It carries your organization's name, logo, and colors, and it is built and hosted for you.

Can we use our own domain name?

Yes. Point your existing domain at your Sketchplay site and families see your address, not ours. If you do not have one yet we can start you on a Sketchplay address and move it later.

Do I need a web designer?

No. We build the site with you during onboarding. You supply your logo and colors and we handle the rest, so there is nothing to design, host, or patch.

Does the website update itself?

Yes. Schedules, rosters, registration, standings, and scores come straight from the platform, so publishing an event or a score updates the public site immediately. There is no second place to maintain.

How does the mobile app work?

Families download the Sketchplay app and your organization has its own space inside it, carrying your name and branding, with your schedules, announcements, scores, and payments. A fully white-labelled standalone app is on the roadmap.

What happens to our site if we leave?

Your domain is yours and your data is yours. You can export your data and point your domain elsewhere at the end of any billing month.

What is tournament management software?

Tournament management software runs the operational side of an event: team registration and payments, seeding and brackets, court and field scheduling, gate ticketing, live scores and standings, and communication with families. Sketchplay does all of it in one platform, under your own brand.

How many teams can Sketchplay handle?

Multi-court, multi-division weekends are the normal case. Because pricing is flat by organization size rather than per team, adding teams or divisions to an event does not change what you pay.

What happens when a team drops out on game day?

Mark the team out and the AI scheduler re-solves the affected games in seconds while holding your original constraints, then notifies every affected family automatically with the new time and court.

Can we sell tickets at the gate?

Yes. Sell gate and parking passes in advance or at the door with Apple Pay and Google Pay, scan QR codes at entry, and see sales in real time. Payouts go straight to your account.

Do families need a separate app?

Teams and families use your organization's space in the Sketchplay app, alongside your own branded website. Schedules, scores, brackets, and alerts all sit under your organization's name.

Do you charge per team or per event?

No. Sketchplay charges one flat monthly price based on the size of your organization. Running more events or adding more teams does not change it.

What is camp registration software?

Camp registration software handles sign-ups, waivers, and payment for a camp or clinic, then manages the roster, attendance, and communication once it starts. Sketchplay adds recurring training, session credit packs, and athlete evaluations so the same platform runs your whole year, not just one event.

How do session credit packs work?

Families buy a block of sessions up front, for example ten training sessions. Each time the athlete attends, one credit is drawn down automatically. Everyone can see the balance, and you get paid before the work rather than chasing invoices after it.

Can I run recurring weekly training?

Yes. Set a session to repeat on a schedule and it publishes to your calendar for the whole term. Families book once, attendance is tracked per session, and cancellations notify the group automatically.

Can I run private lessons and small groups?

Yes. Set capacity per session, from a one-on-one lesson to a full clinic. When a session fills, sign-ups close automatically so you are never over capacity on the floor.

What are athlete evaluations?

Coaches score athletes against the skills you define, and the results roll up into a profile parents can see. It gives families visible proof of progress, which is what keeps them re-enrolling term after term.

Do you charge per athlete or per camp?

No. Sketchplay charges one flat monthly price based on the size of your organization. Running more camps, more sessions, or more athletes does not change it.

Switching platforms

Getting your data out, when to move, and what breaks if you rush it.

Can we export our data out of SportsEngine ourselves?

Yes. SportsEngine documents exports for member data, games, rosters, and eligibility searches, and they produce CSV files you download. You need Full Access or Limited Access - HQ Tools permissions to reach the member export, so check who on your board actually holds those rights before you plan around it.

What is the one thing clubs forget to take with them?

Signed waivers and uploaded documents. They rarely come down in a bulk CSV the way member records do, so they have to be saved separately, and clubs usually discover this after access has already ended. Save a sample and open it to confirm you got the signed version rather than a blank template.

Should we export before or after we cancel?

Before, without exception. Admin access to your data generally ends when the subscription does, and the export tools go with it. Once that happens, recovering historical records is a support request rather than a download.

When in the year should we switch?

Between seasons, after your last event has settled and before the next registration opens, so nothing is in flight. If you cannot wait, switch at a registration boundary rather than in the middle of one: a half-collected registration living in two systems is what produces duplicate charges and refunds.

Do parents have to do anything when we move?

Plan on yes, and plan the message rather than letting them find out from a broken bookmark. Send one announcement before anything visibly changes, saying what is moving, what they need to do, what they do not, and the date the old links stop working, then one reminder on the day.

Will Sketchplay migrate our data for us?

Bring your exports to a demo and we will go through the actual files with you, including the parts that will not come across cleanly. What is possible depends on what your export contains, so we would rather look at yours than give you a number over a web page.

Leaving LeagueApps

Which reports carry your history, and the field picker that quietly drops it.

Does LeagueApps let us export our own data?

Yes, and they document it openly. The Members report and the Registrations report both export, and depending on the report you can take CSV, Excel, or PDF. They also publish articles for exporting your data specifically to import into other platforms, which is an unusually straightforward thing for a vendor to provide.

What do clubs most often lose on the way out?

Custom form fields. In the Registrations report they are collapsed into a single Custom Form Fields column, and you have to right-click it, choose Extract columns, select the fields and confirm before they become real columns in your export. Nobody finds that by accident, so the club-specific data like medical notes, school, jersey size, or volunteer preference is exactly what gets left behind.

Should we export each program separately?

Yes. One blended export across every program and season is very hard to unpick later when someone asks about one specific season. Export per program and per season and name the files so a stranger could tell them apart in a year.

Can we automate a backup before we move?

You can schedule an export to run on a cadence and email it to addresses that do not have to be inside your organization. Setting a weekly export to a club-owned address in the weeks before a switch is cheap insurance, and it means a recent snapshot does not depend on still having a login.

What will Sketchplay import from a LeagueApps export?

That depends on which fields you selected and how your programs were structured, so we would rather open your actual CSVs with you than quote a number on a web page. Bring them to a demo and we will tell you what maps across and what needs rework.

Leaving Exposure Events

Why an event platform has to be exported event by event, and what to take from each.

Why can we not just export everything at once?

Because an event platform stores your history as separate events rather than one continuous season. Your record is however many tournaments you have run, each holding its own teams, payments, rosters, schedule, and bracket. Plan to work backwards through every event you care about and export each one.

What can we download from an event?

Exposure's features documentation describes downloading or printing reports for an event, with Excel exports for teams, payments, and rosters, and PDFs for schedules, standings, and brackets. Take the Excel version wherever you get the choice, and the PDF only as a visual backup.

Is there a faster way if we have run a lot of events?

Exposure offers an API that can retrieve participants, events, divisions, and games if you have a developer or a technical volunteer. For an operator with a long event history that is far more reliable than clicking through every past event by hand, and it gives you structured data instead of a folder of spreadsheets.

Where do we get help with the export?

Their published support route is email, at support@exposureevents.com. We could not find a public self-serve knowledge base with per-report instructions, so start that conversation early rather than days before your access ends, ask specifically about a bulk export of historical events, and get the answer in writing.

When should an event operator switch?

In your off-season, once the last event has settled financially and before registration opens for the next one. Do not migrate with an event on the books: a tournament weekend takes all of your attention, and the migration is the one that ends up done badly.

Leaving GroupMe

Why there is no club export, and what to rebuild instead.

Can our club export its GroupMe history?

Not as a club. GroupMe's export is run by an individual account holder from the web app, under their profile, and covers the conversations that person selects. There is no club-level export, because a club does not hold a GroupMe account the way it holds an account on a management platform.

What happens when a coach or team manager leaves?

Their account goes with them, and so does their copy of the history. That is why the time to ask someone to run an export is while they are still around and still willing to spend ten minutes on it, rather than after they have moved on.

What format does the export come in?

JSON files, which GroupMe's documentation notes you need an external viewer to read. That is workable for archiving and awkward for actually using, so if you expect to search it later, get help from whoever in your club is comfortable with data while the context is still fresh.

Can we run several exports at once to save time?

No. Their documentation states you can only have one active export at a time, and creating a new one replaces the previous. Tell everyone that up front so nobody starts a second export and quietly destroys the first.

Can we rebuild our contact list from the group members?

You should not. Group membership is out of date, includes people who have left, misses the parent who never joined, and phone numbers in a chat app are not a roster. Build the list from your registration records instead, which is where it should have come from originally.

Will Sketchplay import our GroupMe threads?

No, and we would be sceptical of anyone who said they would. A JSON archive of chat threads is a record to keep, not a migration source. What is worth doing is the rebuild: getting your real contact list out of your registration records so your first announcement reaches everyone.

What does basketball tournament software have to do that a generic scheduler does not?

Treat courts as the constraint. A basketball weekend is a fixed number of courts, fixed game lengths, minimum rest between a team's games, and pools that turn into a bracket by a set time. We run a club season and events. Do we need two systems?

Is Tourney Machine still Tourney Machine?

The product page now reads SportsEngine Tourney, formerly Tourney Machine. The app still lives at tourneymachine.com and the mobile apps carry the SportsEngine Tourney name, and it was part of the SportsEngine assets PlayMetrics acquired on May 1, 2026. Expect the brand and the login to keep changing; that is a reason to hold your own copy of your history.

Can we export our brackets, schedules and results?

We could not find a public help article for exporting brackets, schedules or results as PDF or CSV in the Tourney help center; what is documented is embedding public results in your own webpage. Ask their support in writing for an export of your event history before you plan a date, and keep the answer.

Where do registrations and rosters come from on Tourney?

Their documented flow is from SportsEngine HQ into Tourney, using HQ's Quick Report and Export to Excel. If your teams registered through HQ, that is where the clean CSV lives; export it there. If they registered directly in Tourney, ask support for the export path.

How do we reach their support?

When should a tournament operator switch?

In the gap after one event settles and before registration for the next opens. Run the next event on Sketchplay while Tourney is still readable, so nothing you need is behind a login you no longer have.

Does PlayMetrics let us export our data?

Their registration feature page states responses export to CSV, and their public release notes describe exports for schedules, tryout players, subscriptions, invoice payments and team account transactions. The admin how-to articles themselves are behind the customer login, so use those from inside your account, and note their release note that export files are retained for download for 7 days.

Is there an API we can pull from?

We could not find public developer documentation for a PlayMetrics API. Plan on the in-app exports.

How do we reach support during the move?

support@playmetrics.com or the Submit a request link in their help center; existing clubs also have a Customer Success representative. Ask for a complete export of members, registrations, payments and documents in writing before your access changes.

What about the SportsEngine acquisition?

PlayMetrics announced on May 1, 2026 that it acquired substantially all of SportsEngine's assets from Versant. Their statement is that SportsEngine customers keep the same service and gain access to PlayMetrics technology. If you are on either platform, the practical move is the same: hold a current export of your own data while things change around you.

When should a club switch?

Between seasons, after the last payment plan has settled and before tryout registration opens. Register the new season on Sketchplay while the old system is still readable.

What can we export from TeamSnap?

Their help center documents CSV exports for team rosters and organization members (emailed to you), registration reports with separate fee and waiver exports, financial reports (payments, deposits, outstanding), and schedules as CSV or iCal. Registration exports only include data entered at registration, and long financial ranges are split into batches.

Which side are we on, Teams or Clubs and Leagues?

It matters for where the export lives. Single-team rosters export from the team's Roster tab; organization-wide members export from the Members tab in the club and league console, and only that export carries custom fields. Take the organization export.

Can we cancel any time?

TeamSnap describes itself as pay-as-you-go that can be canceled at any time, with no prorated refunds; team and organization plans auto-renew until canceled through your account or a support ticket. Club and league agreements may carry supplemental terms, so check yours.

How long is our data kept?

Their published notes cover downgrades (photos kept 30 days, paid-feature data stored) and retiring a team as a read-only copy; we could not find a stated retention window after an organization cancels. Export first, then cancel.

How do we reach support?

Yes, you can upgrade or downgrade your plan at any time. Changes to your subscription will be prorated for the remainder of your billing cycle.

How does the billing work?

We offer both monthly and annual billing options. Annual plans save about 16% compared to monthly billing. Sketchplay uses Stripe for all billing and payments.

What payment methods do you accept?

We accept all major credit cards, ACH (bank transfer), Apple Pay, Google Pay, Cash App Pay, and Stripe Link. Payment plans are available so families can pay over time, and we keep adding options as they roll out.

Can I cancel my subscription anytime?

Yes, you can cancel your subscription at any time from your account settings. There are no cancellation fees.

Do you charge per team?

No. Sketchplay never charges per-team fees. You pay one flat monthly price based on the size of your organization, and every tier includes the full platform.

Do you charge per athlete?

No. Your plan is not metered by athletes, teams, events, or sports. Register as many as your season needs and the monthly price stays the same.

Is the free website really included?

Yes. Every plan includes a branded website for your organization, built and hosted by Sketchplay, carrying your name, your colors, and your event calendar.

What happens as we grow?

Adding teams, athletes, or events does not change your price. If your organization outgrows its tier you can move up at any time, and the change is prorated for the rest of your billing cycle.
